SAP FICA (Finance and Contract Accounting)

As is evident from it’s name SAP FICA is subledger accounting that allows organizations to manage huge volume of documents and master data. As the needs increased with a dependency on big transactions and the increased complexity of accounting processes, SAP developed FICA. It allows organizations to make millions of daily transaction and post billions of documents in total without having any performance issue.

Apart from thinking as a subledger we use it as a module on its own in a wide variety of sectors such as education, telecommunication, insurance, public sector and of course utilities. With the sales modules (BI-INV, SD, C/4HANA etc.) integrated to SAP FICA, you will improve sales transactions such as collection, collection cancellation, other clearing forms or submitting to regulatory authorities, etc. FICA automates accounting movements and eliminates manual processes, it ensures that your financials are 100% consistency.

Master data management for Contract Accounts Receivable and Payable makes it possible to connect business partners, contract accounts and contract objects in all possible combinations. At the contract object level, you can create a direct representation of individual receivables or commitments in the system.

Contract Accounts Receivable and Payable, when used for customer accounting, is designed for the demands and processing of mass data and is administrated as an independent subledger, parallel to the general ledger in the Financial Accounting component. When using Contract Accounts Receivable and Payable, system performance is improved because mass processing of individual documents is managed and the intensive runtime exchange of updated and relevant data can be processed as totals records, at whatever time suits (e.g. overnight). In addition to Financial Accounting, integration between other SAP components such as Funds Management (PSM-FM), Controlling (CO) and Sales and Distribution (SD) can also occur.

Implementation Considerations

Public Sector Contract Accounting is an enhancement to SAP ERP (Enterprise Resource Management) and can have many integrated relationships with other SAP components. The components that are integrated depending on the specific requirements of your organization. The basic requirement for using Public Sector Contract Accounting is integration with the General Ledger Accounting (FI-GL) component.

Contract Accounts Receivable and Payable provides the basic functions that are used by sectors with a high turnover of documents. There are also additional industry specific functions that suit the requirements of a particular sector, for example Public Services. To use one of these application areas (sectors), activate the Contract Accounts Receivable and Payable intended for your industry.

The following gives you an overview of functions specific to Public Sector Contract Accounting:

Maintaining Inbound Correspondence

You can use contract objects to control the obligation of a business partner to submit Inbound Correspondence. This obligation can be set up individually for each business partner. You can perform mass or single processing runs to select overdue inbound correspondence and execute a correspondence dunning run.

Invoicing

Open items that are not regulated by payment processing in the payment program can be selected in a mass processing run. These open items are issued as invoices to the relevant business partners.

SAP BRFplus

A key function of systems based on business rules is partial or complete separation of business logic from the application code. Thanks to this, it became possible to transfer complete or partial responsibility for designing, modelling and maintaining organizational rules by Your People. SAP Business Rules Framework Plus (BRFplus) is a tool of the Business Rules Management System class, increasing possibilities of adjusting SAP applications based on organizational rules.

The applications of the SAP Business Suite package such as SAP ERP, CRM and SRM allow implementation of complex organizational processes, supporting organizations practically in all areas of their activities. The impressive adaptation possibilities of the SAP Business Suite package applications to the most complex requirements of business processes are widely known. The applications of the SAP Business Suite package can be configured using standard tools e.g. creating entries in hundreds of control tables, they can also be enhanced by logic implemented in the ABAP extensions specific for a given enterprise.

Business Rules

Business rules are present in all organizations and they assume various forms, e.g. they can constitute guidelines gathered in documentation available on your organization's portal or particular algorithms implemented in SAP systems or tacit knowledge. Regardless of the form, business rules have a fundamental meaning for the operations of all organizations.

There are numerous more or less formal definitions of a business rule. According to Business Rules Group, which is an organization associating experts and defining standards in the field of business rules management, “a business rule is a statement which defines or constrains some aspect of a business. It is expected to ensure business structure or to control or impact business behavior.” In the context of technology, it is much more comfortable to assume a more technical definition, which states that “a business rule expresses certain limitations related to the creation, updating and removal of persistent data in a technical system.”

Examples of business rule applications:

  • Calculating the credit rating of a person applying for a mortgage

  • Calculating the amount of a vehicle third party insurance contribution

  • Calculating the product sales price

  • Classification of the outgoing bank transfer to the category/subcategory in order to analyze expenses

  • Assigning the right approval path to purchase requisition

BRFplus is part of the SAP NetWeaver ABAP server and integrated in many business applications. BRFplus is already used in many SAP applications as well as custom projects across all business areas and industries. It combines the powerful ABAP software logistics with the agility and flexibility demanded by organizational experts. Business Rule Framework plus (BRFplus) provides a comprehensive application programming interface (API) and user interface (UI) for defining and processing business rules. It allows you to model rules in an intuitive way and to reuse these rules in different applications. All SAP applications that are based on SAP NetWeaver can access BRFplus within the boundaries of an SAP system. However, it is also possible to generate web services so that BRFplus rules can also be offered as a service in a SOA landscape, regardless of the software platform used by the service consumers.

Some examples of scenarios in which applications use BRFplus:

  • Validation of data and detection of invalid data and states

  • Matching responsibilities, suitable products and locations

  • Calculation of costs, overhead and risks

  • BRFplus as a technical configuration engine

Major BRFplus components include application, function, catalog, expression, action and data objects.

The interface between a business rule modeled with BRFplus and an application using that rule is provided by a BRFplus function. The function serves as a container for the entire business logic of a rule, no matter how complex it may be. Rules can be implemented as expressions which are assigned to a function. The rule input is known as context and the rule output is called result. Context and result consist of data objects of one of the following types: element, structure, and table. BRFplus supports features such as simulation, trace, transport, XML export and import.

The Road to Effective Organizational Rules

BRFplus has always been highly configurable. Very complex organizational requirements can be implemented using the ABAP extensions. For years SAPDAY's Customers have been able to take advantage of the entire spectrum of tools and frameworks which have a lot in common with business rules, e.g. validations and substitutions in SAP FI, CO, PS modules. Condition techniques present in SAP MM, SD modules used to determine price conditions and output information (printouts, emails, etc.) or rules modeled in the workflow templates, controlling e.g. whether a given workflow task is sent.

If you are implementing new SAP systems such as SAP TM (Transportation Management), as well as new functionalities made available within the EHP packages for the SAP ERP system e.g. a shopping cart in SAP ERP similar to the one from SAP SRM, are more frequently based on the maintenance of business rules in BRFplus.

The use of BRFplus has the following advantages:

  • Higher degree of transparency

  • Less coordination efforts between technology experts and business experts

  • Less testing and maintenance costs

  • Reduced modification cycle times

  • Quicker response to changes

  • No downtime needed because code change is not required

  • Clear segregation of duties – code (technology department) and business rules (business expert)

  • Quicker application development because business rules are a powerful means for flexible application customizing

  • Convenient graphical representation

  • Controlled automation of business decisions

  • Significantly quicker and easier implementation of changes in the existing business rules

  • Decreased costs of maintaining and adapting business rules to changing conditions
